Here are some important points to keep in mind as you prepare for your Internship or Trainee Program in Austria:

Complete Your Arrival Check-in
As soon as you arrive in Austria, you must complete your Arrival Check-in. This step is crucial for us to track your progress and ensure everything is in order. You will receive detailed instructions via email to guide you through the process. If you don’t receive an email on the day of your arrival, reach out to your personal Austrian Trainee Exchange contact for assistance.
Stay Connected with Us
It’s vital to stay in contact with us throughout your time in Austria. If there are any changes to your personal details—such as a new phone number, address, or anything related to your internship—please inform us immediately. Keeping your information up to date helps us support you better.

Complete Monthly Check-ins & Program Evaluations
Monthly Updates: You’ll receive links to a monthly check-in form. It’s important to complete these forms on time as they help us track your experience and address any concerns.
Mid-Program Evaluation: About halfway through your stay, we’ll send you a mid-program evaluation. This helps us make sure you're on track and allows us to offer any necessary guidance.
Final Evaluation: At the conclusion of your program, a final evaluation will be required to assess your overall experience and provide feedback on how we can improve the program for future participants.
Don’t Leave Your Host Organization Without Consultation
If you decide to leave your host organization before the program ends, be sure to consult with us first. Your visa status is tied to your position, and leaving without permission can result in complications that affect your ability to stay in Austria legally.

Understand Your Health Insurance Coverage in Austria
As an Intern or Trainee in Austria, you will be covered by the country’s comprehensive public health insurance, which is mandatory for all participants. Austria has one of the best healthcare systems in the world, and your insurance will cover most medical needs, from general practitioner visits to emergencies. Here’s how to navigate the system:
No Need to Call for Routine Care: Unlike some other countries, you do not need to contact your insurance provider first for routine medical visits. You can simply visit a general practitioner (GP) or specialist directly. Just ensure the doctor accepts public insurance, and if needed, book an appointment.
Emergency Care: In the event of an emergency, you can go directly to the hospital. Austria’s public healthcare system will cover most of the costs for emergency care, and you won’t have to pay upfront. However, it’s always recommended to carry your e-card (Austrian Health Insurance Card) and photo ID with you for identification.
Doctor Visits and Prescriptions: Doctor visits are generally covered under your public health insurance. You may only need to pay a small co-payment (if any) for prescriptions or treatments. If you need to see a specialist, you typically need a referral from your GP, though some specialists may accept direct visits depending on the case.
Out-of-Pocket Costs: While Austria’s healthcare is largely free for those insured, there might be small charges for certain services like dental care, specific prescriptions, or elective treatments. Make sure to ask about potential costs when making appointments or before receiving treatment.

Safeguard Your Essential Documents
Make sure to keep your important documents secure during your stay in Austria. Replacing lost or stolen documents can be time-consuming and costly, so it’s essential to store them safely. The key documents you’ll need for your program are:
Passport
Proof of Health Insurance (Austrian public health insurance card or any alternative insurance documentation)
Meldezettel (Residence Registration Certificate)
Training Agreement or Contract
Birth Certificate (or another form of official ID)
Austrian Social Security Number (Sozialversicherungsnummer) (if applicable)
Bank Account Details or Documents Related to Financial Support (if relevant for your program)
Additionally, make sure to keep a copy of your Passport and Austrian Health Insurance Card, as it will be necessary for medical care during your stay. It's a good idea to have both physical and digital copies of these documents stored securely in case of loss or theft.
Housing Arrangements
For our Intern and Trainee Programs in the hospitality sector, housing is typically provided by our host companies. This ensures that you have a comfortable and convenient place to stay during your program. However, if you are enrolled in a Self-Placed program, we are unable to guarantee housing. In such cases, it’s important to arrange accommodations on your own before arriving in Austria. We recommend securing temporary housing in advance to help ensure a smooth transition and avoid any last-minute challenges upon arrival.
Check Your Email Regularly
All critical updates about your program will be sent to your email, so it’s important to check your inbox daily. Be sure to respond promptly to any communication from Austrian Trainee Network to avoid missing important deadlines or reminders.
Visa Expiry and Departure Requirements After Program Completion
For non-EU participants staying in Austria on a D visa, the rules regarding the grace period after the completion of your program are different. After completing your program, you will not have a 30-day grace period to travel or explore Austria. Your stay in Austria on a D visa is directly tied to the duration of your program, so you must leave Austria before your visa expires.
This means that after your program ends, you must depart Austria before your D visa expires. You are not allowed to stay in the country for an additional 30 days for tourism purposes.
If you wish to extend your stay in Austria or apply for a different type of visa (such as a tourist or work visa), you must do so before your D visa expires and while you are still in Austria. It is important to plan ahead to avoid any complications regarding your stay.
